Role Overview: What You’ll Be Doing
Our client is seeking a world-class Maintenance Invoice and Insurance Administrator to join their remote team of dedicated professionals. In this role, you will be the key liaison to ensure that invoicing and insurance processes are executed accurately and in a timely manner. Your efforts will help maintain a streamlined maintenance operation while supporting the financial and insurance aspects of the business.
Responsibilities
- Invoice Review & Verification:
- Review scheduled and unscheduled maintenance invoices, parts invoices, rental fees, chargebacks, supplemental billings, and claims against hull insurance policies and parts/service programs.
- Ensure that all billings are in line with the agreed-upon proposals or estimates and that charges are normal and customary.
- Vendor & Stakeholder Coordination:
- Interface with vendors to request adjustments or credits when discrepancies occur.
- Collaborate with key stakeholders in the invoice approval process to manage payments within the credit terms agreed with vendors.
- Invoice Processing:
- Retrieve invoices from the accounting mailbox and enter them into SharePoint for processing.
- Forward invoices to the relevant stakeholders for review and gather their feedback.
- Notate any required adjustments or credits and work with vendors to resolve issues.
- Finalization & Documentation:
- Forward fully approved invoices to the accounting team for payment.
- Ensure invoices are closed in SharePoint after final submission and appropriately advise on any expected credits or adjustments.
- Expedite proforma invoices requiring pre-payments to prevent delays in work initiation or aircraft release.
- Insurance Tracking:
- Identify events eligible for coverage under hull insurance.
- Track insurance event costs and provide detailed data to the Insurance Adjuster as required.
Qualifications
What You Bring to the Table
- Communication:
- Exceptional written and verbal communication skills, enabling you to clearly articulate issues and collaborate with vendors and internal teams.
- Technical Proficiency:
- Valid FAA Airframe and Powerplant (A&P) license - Requirement for the role
- Strong working knowledge of Microsoft Outlook, Word, and Excel.
- Organizational Skills:
- Ability to multitask effectively, consistently manage deadlines, and operate with a high level of integrity and professionalism.
- Self-Starter:
- Demonstrated ability to work independently with limited supervision in a dynamic, fast-paced environment
- Team Collaboration:
- Excellent interpersonal skills and the ability to build positive working relationships at all levels within the organization.
What We Offer: Salary Range & Benefits
Our client believes in fair compensation based on experience, skills, and qualifications. The salary for this role ranges from $68,000 to $102,000—with the exact placement within the range determined by what you bring to the table. Additionally, you may be eligible for a discretionary annual incentive program that rewards both individual and organizational performance.
